DSP Sync Privacy Policy

Version 1.0 · Last updated November 5, 2026

This policy explains what information DSP Sync collects, why, who can see it, and the choices you have. We wrote it in plain words. If anything is unclear, email us at privacy@dspsync.app and we will help.

1. Who we are

DSP Sync is an app made by Earth Is Waking Up, LLC, an Oregon company. In this policy, "we" and "us" mean Earth Is Waking Up, LLC.

Care agencies use DSP Sync to schedule and record the support their Direct Support Professionals (DSPs) give, to bill for that care, and to stay in touch with families. The agency gives the care. We make and run the app the agency uses.

This policy covers:

  • Visitors to dspsync.app and dspsync.com.
  • People who use the app: agency staff, DSPs, and family members.
  • People whose care is recorded in the app (we call them "clients").

2. Your agency and us

Your agency decides what goes into DSP Sync, who can see it, and how it is used for your care or your job. We run the app for your agency and follow its instructions.

If you get care from an agency, the agency's own privacy notice (often called a "Notice of Privacy Practices") explains how the agency uses your health information. Questions about your care records are best sent to your agency first.

When an agency is covered by HIPAA (the federal health privacy law), we act as its business associate. We sign a Business Associate Agreement with the agency, and we protect health information as that agreement and HIPAA require.

3. What we collect

Account information. Your name, email address, phone number, role, and sign-in details. Your password is stored in a scrambled (hashed) form.

Care and work information. What the agency and its DSPs enter to plan, record, and bill for care. This can include shifts and hours, daily notes, goals, medication records, incident reports, documents, contact details, and the ID numbers needed for Medicaid billing.

Location. With the device's permission, DSP Sync uses a DSP's location for work tasks, such as recording where they clocked in.

Messages and files. Messages sent in the app, and files or photos that people upload.

Device and usage information. Your IP address, browser type, sign-in times, and records of who opened certain care records. We keep these records to protect the information and to help find problems.

Website visitors. Our servers keep basic technical logs, such as IP address and browser type, to keep the sites running and safe.

4. How we use information

We use information to:

  • Run DSP Sync for your agency, including scheduling, notes, billing files, reminders, and messages.
  • Keep accounts and information safe, and find and stop misuse.
  • Answer your questions and give support.
  • Fix problems and make DSP Sync work better.
  • Follow the law and our agreements with agencies.

Some features use artificial intelligence (AI) services to help with tasks such as setting up a new agency. What you type into an AI helper goes to the AI provider, so please leave health information out of those conversations.

5. What we never do

  • We never sell your information.
  • We never use your information for advertising.
  • We do not use advertising trackers on our sites or in the app.

6. Who we share information with

Your agency. The agency you work for or get care from can see the information in its account. Your agency can also send information to people involved in your care, such as a case manager.

Our team. Our own team can see agency information when it is needed to run, support, and fix DSP Sync.

Service providers. We use trusted companies to run DSP Sync, for example to host the app and its files, send emails and text messages, look up addresses and draw maps, report errors, and collect signatures. We share information with them so they can do these jobs for us. You can ask us for the current list of providers at privacy@dspsync.app.

Tools your agency chooses. If your agency connects its own accounts to DSP Sync, such as its own spreadsheet or signature service, we send information there on the agency's instruction.

Information shared in these ways can include names and care details.

Government programs. Agencies use DSP Sync to prepare billing for state Medicaid programs. The agency decides what to send.

When the law requires it. We share information when the law requires it. Examples are a valid court order, a report of suspected abuse or neglect, or a step needed to protect someone's safety.

If our company changes. If Earth Is Waking Up, LLC merges with another company or sells DSP Sync, the information moves with the app. This policy, or a policy that is just as protective, will still apply.

7. Cookies, device storage, and notifications

  • Cookies keep you signed in and remember your settings.
  • Your device can save some pages and actions so DSPs can keep working without a signal. When a different person signs in on the device, the app works to clear the saved pages.
  • Notifications can include names and short care details. Depending on your phone's settings, they can show on your lock screen.

We keep technical logs and error reports to keep DSP Sync working. Our pages load fonts and code from outside content networks, which can see your IP address, like any website you visit. Some pages show content from other services, such as maps and training videos, and those services follow their own privacy policies.

8. Text messages

If you give us a mobile number, we may text you account messages, such as a code to reset your password. Message and data rates may apply. We do not share your mobile number or your consent to receive texts with anyone for their marketing.

9. How long we keep information

We keep information while your agency uses DSP Sync, and as long as the law, Medicaid record rules, or our agreement with your agency requires. Closing an account does not delete care records right away, because agencies must keep many records for years.

10. How we protect information

We use safeguards such as:

  • Encryption when information travels over the internet.
  • Encryption of some sensitive information that we store.
  • Access controlled by account roles.
  • Two-step sign-in, which agencies can turn on.
  • Records of who opened certain care information.
  • Regular backups of our main database.

No system is perfectly safe. If a breach affects your information, we will tell your agency, and we will tell you when the law requires it.

11. Your choices and rights

  • See or fix your care information: ask your agency. It controls those records.
  • See or fix your account information: ask your agency, or email us.
  • Close your account: ask your agency, or email us. Some records must be kept for a time even after an account closes, because the law or Medicaid rules require it.
  • Questions or complaints: email us at privacy@dspsync.app. We will not treat you differently because you asked a question or made a complaint.

12. Children

DSP Sync is made for adults to use. Agencies can enter information about children they serve. The agency and the child's parent or guardian decide how that information is used.

13. Changes to this policy

Each version of this policy has a number and a date. When we make an important change, we tell you in the app or by email before it takes effect.
